Job Summary

The Lab Coordinator is responsible for coordinating laboratory operations, assisting patients, supervising front-office activities, managing laboratory documentation, supporting quality management systems, and ensuring excellent customer service. The role also involves maintaining compliance with laboratory accreditation standards, infection control policies, occupational health and safety regulations, and laboratory quality procedures.

The successful candidate will work closely with laboratory managers, medical technologists, clinicians, and administrative staff to ensure efficient laboratory services and an outstanding patient experience.

Key Responsibilities

Patient Coordination & Customer Service

  • Welcome patients and visitors professionally.
  • Guide patients regarding laboratory services and procedures.
  • Respond to patient enquiries and provide accurate information.
  • Coordinate appointments and laboratory registrations.
  • Verify patient details before laboratory procedures.
  • Assist patients with laboratory-related documentation.
  • Maintain patient confidentiality at all times.
  • Advocate for patients’ rights and responsibilities.
  • Handle customer complaints professionally.
  • Resolve patient concerns promptly.
  • Escalate complex issues to laboratory management when necessary.
  • Ensure a positive patient experience throughout laboratory visits.

Medical Insurance Verification

  • Verify medical insurance eligibility.
  • Check insurance approvals before laboratory testing.
  • Coordinate with insurance providers when required.
  • Ensure accurate insurance documentation.
  • Assist patients regarding insurance coverage information.

Laboratory Administration

  • Maintain daily laboratory records.
  • Prepare patient statistics and activity reports.
  • Coordinate laboratory front-office schedules.
  • Prepare staff duty rosters.
  • Monitor workflow efficiency.
  • Maintain accurate administrative documentation.
  • Coordinate communication between departments.
  • Assist Laboratory Manager with daily operations.

Quality Management Responsibilities

  • Support implementation of Quality Management Systems (QMS).
  • Maintain laboratory quality documentation.
  • Ensure compliance with ISO standards.
  • Assist during laboratory audits.
  • Maintain laboratory records according to accreditation requirements.
  • Support corrective and preventive action (CAPA) activities.
  • Monitor documentation accuracy.
  • Ensure compliance with laboratory policies and procedures.

Laboratory Information System (LIS)

  • Update patient records in the Laboratory Information System.
  • Ensure accurate data entry.
  • Verify laboratory information before processing.
  • Maintain confidentiality of electronic records.
  • Generate laboratory reports as required.

Occupational Health & Safety

  • Follow Occupational Safety and Health (OSH) policies.
  • Comply with infection prevention and control procedures.
  • Use Personal Protective Equipment (PPE) appropriately.
  • Participate in emergency response drills.
  • Report workplace hazards and incidents.
  • Assist with risk assessments.
  • Follow biomedical waste management procedures.
  • Participate in safety awareness and training programs.

Team Coordination

  • Coordinate front-office laboratory staff.
  • Promote excellent customer service standards.
  • Support staff training and development.
  • Maintain professional grooming standards.
  • Encourage effective communication within the laboratory team.
  • Perform additional administrative duties assigned by the Laboratory Manager.

Educational Qualification

Candidates should possess one of the following:

  • Bachelor’s Degree in Medical Laboratory Science
  • Bachelor’s Degree in Clinical Laboratory Science
  • Bachelor’s Degree in Chemistry
  • Equivalent healthcare laboratory qualification

Professional Certification

Applicants should preferably hold:

  • Licensed Medical Laboratory Technologist (MLT)
  • DHA, DOH (HAAD), MOH, or equivalent professional license (preferred)
  • Other recognized Medical Technologist certifications

Required Experience

Candidates should have:

  • 3–5 years of experience in a clinical laboratory
  • Experience in laboratory administration
  • Knowledge of patient coordination
  • Experience with laboratory quality systems
  • Experience using Laboratory Information Systems (LIS)
  • Experience handling laboratory documentation
