The successful candidate will work closely with pharmacists, physicians, pharmacy staff, finance and billing teams, procurement personnel, insurance coordinators, and hospital management to support efficient pharmacy operations and safe patient care.
Key Responsibilities
1. Prescription & Medication Approval
- Review prescription-related requests for accuracy, completeness, and compliance with established hospital procedures.
- Verify medication requests and supporting documentation before approval.
- Identify discrepancies, missing information, or requests requiring additional clinical or financial review.
- Approve eligible medication requests within the assigned authority and escalate complex cases when necessary.
- Ensure controlled, restricted, and high-risk medications are processed according to applicable policies and authorization procedures.
- Coordinate with pharmacists and physicians regarding prescription or medication-related discrepancies.
2. Pharmacy Procurement & Inventory Management
- Review pharmacy purchase requisitions, stock requests, and procurement documentation.
- Verify that requested medicines and pharmaceutical products meet departmental requirements and established procurement procedures.
- Support approval of pharmacy purchases based on operational requirements, budget availability, necessity, and internal policies.
- Coordinate with procurement and pharmacy teams regarding medication orders and supply requirements.
- Monitor inventory-related requests and identify potential overstocking or shortages.
- Assist in maintaining appropriate documentation for pharmacy procurement and inventory transactions.
3. Insurance & Billing Coordination
- Review medication charges and pharmacy-related transactions for insurance and billing purposes.
- Verify documentation required for insurance approvals and reimbursement.
- Ensure pharmacy transactions are processed in accordance with applicable payer requirements and hospital billing procedures.
- Coordinate with insurance, billing, finance, and pharmacy departments to resolve discrepancies.
- Follow up on rejected, incomplete, or pending pharmacy-related approvals.
- Support accurate documentation of medication-related financial transactions.
4. Regulatory Compliance & Quality Assurance
- Ensure pharmacy-related approvals and transactions comply with hospital policies and applicable healthcare regulations.
- Support adherence to pharmaceutical, medication-management, and controlled-medication requirements.
- Maintain appropriate documentation for internal and external audits.
- Assist with regulatory inspections, accreditation requirements, and compliance reviews.
- Identify potential compliance issues and escalate them to the appropriate department or management.
- Maintain confidentiality and handle sensitive patient and medication information appropriately.
5. Hospital Information Systems & Documentation
- Process pharmacy requests, approvals, and related transactions through Hospital Information Systems (HIS), ERP, pharmacy management systems, or other healthcare software.
- Maintain accurate records of approvals, rejections, pending requests, and escalations.
- Verify that electronic and manual documentation is complete and accurate.
- Prepare pharmacy-related reports and administrative summaries for management.
- Maintain organized records to support audits, reporting, and departmental monitoring.
6. Pharmacy Department Coordination
- Coordinate with pharmacists, physicians, pharmacy technicians, procurement teams, finance departments, insurance coordinators, and hospital administration.
- Clarify discrepancies in prescriptions, medication requests, procurement documents, and billing information.
- Communicate approval requirements and procedures to relevant staff.
- Follow up on pending requests to support timely completion of pharmacy transactions.
- Assist in improving communication and workflow between the Pharmacy Department and other hospital departments.
7. Reporting & Management Support
- Prepare regular reports related to pharmacy approvals, procurement requests, inventory, insurance transactions, and other departmental activities.
- Assist management in monitoring pharmacy-related workflows and operational performance.
- Maintain appropriate records for management review.
- Identify recurring issues and provide relevant information to support process improvement.
- Participate in departmental meetings and healthcare administration initiatives when required.
