HealthcareManagemtn in Sharja, UAE is looking for a qualified Pharmacy Assistant / Assistant Pharmacist to support the efficient day-to-day operation and administration of its pharmacy.
The role involves supporting pharmacists and pharmacy staff with dispensing activities, customer service, inventory management, pharmaceutical stock control, documentation, regulatory compliance, and general pharmacy administration. The successful candidate will help ensure that the pharmacy operates in accordance with applicable Ministry of Health (MOH) requirements, organizational policies, quality standards, and pharmacy procedures.
The position requires strong attention to detail, good communication skills, effective organizational abilities, and a commitment to patient safety and quality pharmaceutical services.
Job Responsibilities
Pharmacy Operations and Patient Service
- Welcome and greet patients and customers in a professional and courteous manner.
- Ensure every patient visiting the pharmacy receives timely attention and appropriate assistance.
- Respond to customer and patient queries and provide accurate information within the scope of the role.
- Handle incoming telephone calls and direct queries to the appropriate pharmacy staff when required.
- Support smooth coordination between the pharmacy, clinical departments, patients, and other healthcare teams.
- Ensure patients referred from clinics or other departments are appropriately directed or escorted to the pharmacy when required.
- Maintain a professional, organized, and patient-focused pharmacy environment.
Medication Dispensing and Prescription Support
- Assist with the accurate and orderly dispensing of medicines and pharmaceutical products under the supervision and scope permitted by the applicable professional license and regulations.
- Ensure medicines are supplied according to the prescribed dosage, quantity, instructions, and packaging requirements.
- Verify medication details carefully to minimize dispensing errors and support patient safety.
- Locate the correct medicines and pharmaceutical products from designated storage areas according to prescriptions and authorized requests.
- Ensure medicines are stored appropriately to maintain their quality, safety, stability, and potency.
- Follow established pharmacy procedures for prescription handling, dispensing, labeling, packaging, and documentation.
- Escalate prescription discrepancies, medication-related concerns, or unclear instructions to the responsible pharmacist.
Pharmacy Inventory and Stock Management
- Maintain proper organization of medicines, OTC products, medical supplies, and other pharmaceutical items on pharmacy shelves.
- Monitor stock levels and ensure products are stored in their designated locations.
- Maintain accurate inventory records and support regular stock checks and reconciliation.
- Monitor stock movement and identify fast-moving, slow-moving, non-moving, and short-expiry products.
- Ensure pharmaceutical products are handled, stored, and rotated according to established pharmacy procedures.
- Follow appropriate stock rotation practices to minimize product wastage and expiry.
- Ensure medicines and pharmaceutical supplies are not improperly placed or left unattended on the pharmacy floor.
- Coordinate with purchasing and pharmacy management regarding stock requirements and inventory concerns.
- Use the pharmacy ERP or inventory management system to monitor product movement and stock availability.
Stock Liquidation and Expiry Management
- Develop and implement appropriate plans for the liquidation of products approaching expiry or with limited remaining shelf life.
- Monitor short-shelf-life products and take timely action to minimize expiry and non-moving stock.
- Identify slow-moving and fast-moving products through the pharmacy ERP or inventory management system.
- Give appropriate priority to non-moving OTC products for liquidation in accordance with organizational procedures.
- Prepare and submit monthly reports identifying non-moving and slow-moving products.
- Coordinate with the purchasing or procurement team regarding stock liquidation requirements.
- Support effective inventory planning to reduce stock losses, wastage, and expired pharmaceutical products.
Quality, Compliance and MOH Requirements
- Support the implementation and continuous improvement of pharmacy Standard Operating Procedures (SOPs).
- Ensure pharmacy operations comply with applicable Ministry of Health (MOH) requirements, healthcare regulations, and organizational policies.
- Maintain required pharmacy licenses, certificates, records, policies, procedures, and regulatory documents.
- Ensure relevant documentation is updated regularly and readily available within the pharmacy.
- Work closely with the Quality Manager and pharmacy management to maintain quality and regulatory compliance.
- Participate in internal audits, inspections, quality improvement activities, and corrective actions when required.
- Follow established procedures relating to medication safety, storage, dispensing, documentation, infection prevention, and patient service.
- Report incidents, discrepancies, medication errors, stock issues, or compliance concerns through the appropriate channels.
Team Coordination and Staff Development
- Work collaboratively with pharmacists, pharmacy assistants, pharmacy coordinators, healthcare professionals, and administrative staff.
- Support the induction and training of pharmacy staff when required.
- Assist in developing staff knowledge of pharmacy procedures, SOPs, customer service, inventory management, and regulatory requirements.
- Encourage effective teamwork and professional communication within the pharmacy.
- Support colleagues across departments when operational requirements necessitate cross-functional assistance.
- Promote a positive, efficient, and patient-centered working environment.
Administrative Responsibilities
- Perform clerical and administrative duties required for efficient pharmacy operations.
- Maintain accurate pharmacy records and documentation.
- Support cash register and payment-related activities where applicable.
- Assist with telephone communication, customer enquiries, stock documentation, and routine administrative tasks.
- Ensure pharmacy records are properly maintained and accessible for operational and regulatory purposes.
- Use electronic medical records, pharmacy systems, ERP platforms, and other relevant digital systems as required.
Job Qualifications
- Appropriate professional qualification and valid license/eligibility to work as an Assistant Pharmacist or Pharmacy Assistant under the relevant UAE healthcare regulatory authority, as applicable to the position.
- Required qualifications and professional experience in accordance with the applicable regulatory authority.
- Valid Basic Life Support (BLS) certification from the American Heart Association (AHA).
- Good knowledge of pharmacy operations, medication handling, pharmaceutical inventory, and patient service.
- Ability to follow medication dispensing, storage, labeling, and documentation procedures accurately.
- Knowledge of pharmacy quality standards, SOP implementation, and regulatory compliance.
- Strong organizational and administrative skills.
- Ability to use electronic medical records, pharmacy management systems, ERP systems, or related digital platforms.
- Ability to work effectively across departments when required.
- Strong spoken and written English communication skills.

- Previous experience working in a hospital, clinic, medical center, retail pharmacy, or healthcare organization.
- Experience with UAE healthcare regulatory and pharmacy compliance requirements.
- Experience in pharmaceutical inventory management and stock liquidation.
- Experience using pharmacy ERP or inventory management software.
- Experience with quality management systems, SOPs, audits, and healthcare compliance.
- Ability to communicate effectively in Arabic.
